Meeting minutes where nothing said at the table gets lost

The short answer: Rebel HOA keeps an HOA board’s meetings on the record: the agenda, who attended, what was decided and how each member voted, and who owes which task by when. Unfinished items carry into the next meeting on their own, and the minutes are finalized once every required part is complete.

From the agenda to finished minutes, in three steps

  1. Set the agenda. Each item goes on the meeting’s agenda, and anything left open from the last meeting is already there.
  2. Assign it at the table. Give an item to a board member with a due date and it becomes an action item, linked to the agenda item it came from.
  3. Finalize the record. Attendance, notes and votes are recorded, and the minutes can be finalized once the details, attendees, agenda, actions and content are complete.

The record keeps itself. The board makes the decisions.

A motion carries only with a majority of the whole board, and each member’s vote is recorded by name.

What the secretary stops chasing

Questions boards ask

What should HOA board meeting minutes include?

The date, who attended, each motion and how it was decided, and the actions the board assigned. Minutes record decisions, not every word said.

How do action items carry from one meeting to the next?

When the next meeting is scheduled, every item that is not complete is copied onto its agenda with its task still linked.

Can we record how each board member voted?

Yes. Each member’s vote is recorded by name, and a motion carries only with a majority of the whole board.

Do we still need a secretary?

Yes. The secretary still keeps the record. Rebel HOA gives them the agenda, the attendance, the votes and the open tasks in one place instead of a notebook.
