Free tool · For HOA boards
Fill in what happened at your HOA board meeting and watch the minutes take shape: attendance and quorum, each agenda item with its motion and vote count, the action items, and the adjournment. The finished PDF is emailed to you with a private link to keep editing.
The meeting: the community, the kind of meeting, the date, the time it was called to order and where it was held.
Who was there: each board member, present or absent, with the quorum worked out as you mark them, and any guests.
What you discussed: each agenda item with a short note, and its motion if there was one: moved by, seconded by, and the yes, no and abstain count.
Action items with an owner and a due date, the time the meeting adjourned, and who took the minutes.
Your draft stays in your browser while you write. When you ask for the PDF, we save the minutes and email you a private link. Open it any time to make changes, save them, and download the PDF again.
In Rebel HOA, open action items carry to the next agenda by themselves and every board member sees them. It is $9 a month for the whole community.
The kind of meeting, the date, time and place, who attended and whether there was a quorum, each item the board took up, every motion with who made it, who seconded it and how the vote came out, the action items with an owner and a due date, and when the meeting adjourned.
No. Minutes are a record of what the board did, not a transcript. Keep the discussion to a sentence or two per item and record every decision exactly.
Write the motion as it was stated, who moved it, who seconded it, and the count: yes, no and abstaining. A motion passes when more members vote yes than no, unless your bylaws ask for more.
The number of board members who must be present for the board to act. Many bylaws set it at a majority of the seats. The tool counts the board members you mark present against those you list; check your own bylaws for your number.
Usually at the next meeting, when the board votes to approve them, with any corrections. Until then they are a draft, which is how the PDF marks them unless you choose Approved.
